Check your own WhatsApp before you read the rest of this. In most service businesses, a third to half of all enquiries land outside working hours. Evenings, late nights, Sundays.
If nobody answers those, you didn’t lose a message. You lost a customer you had already paid for.
The maths nobody does
Say you spend PKR 30,000 a month on ads and get 100 enquiries. That’s PKR 300 per enquiry.
Now say 40 of those land after 8pm and get answered the next morning. By then most of them have messaged two competitors and booked with whoever replied first.
That isn’t 40 lost conversations. That’s PKR 12,000 you spent on nothing.
Why “we’ll reply in the morning” stopped working
Your customer is lying in bed at 11pm scrolling. They see your ad, they message three businesses, and they book with the one that answers. Not the best one. The one that answers.
That isn’t impatience. It’s just how buying works now.
The three leaks, in order of cost
1. The unanswered message
The most expensive one. You paid for the lead and never spoke to them.
2. The answered-but-not-recorded message
A staff member replies, the customer says “let me think about it”, and nobody writes it down. Nobody follows up. Gone.
3. The unmeasured month
At month end you can’t say which ad produced which booking, so next month you guess again.
What actually fixes it
A night-shift receptionist isn’t realistic for most businesses. Neither is you answering at midnight.
What works is having something that answers instantly, every time, knows your real prices, asks the right questions, books the appointment, and writes everything down. Software or person matters less than this: it never sleeps and it never forgets.
Where to start this week
Before you buy anything, do this: go through your WhatsApp for the last 30 days and count how many enquiries came in after 8pm, and how many of those became customers.
The number usually surprises people. That’s your leak, and it costs nothing to measure.
